Job Description

Our award-winning, Legal 500 ranked law firm, Crane & Staples LLP, seeks a friendly, personable, and proactive candidate to work weekday mornings as our Front of House Administrator.

This is a fully office-based role in Welwyn Garden City town centre.

This position is a job-share with our afternoon Front of House Administrator.

Job Outline

The Front of House Administrator is the first face clients see when visiting our offices. They should present an excellent first impression, to help ensure a positive, comforting and seamless visitor experience for a range of clients who may be facing sensitive legal issues.

The Front of House Administrator’s central position within the firm also means that they have regular, daily interactions with colleagues of all levels.

For these reasons, this role would suit someone who has good communication skills and a warm and welcoming disposition.

Key Responsibilities

  • Greeting visitors, showing them to their meeting rooms and offering them a drink.
  • Ensuring the meeting rooms, kitchens and public areas are tidy and well-presented. This includes emptying and loading the dishwasher.
  • Monitoring meeting room availability, together with daily staff and visitor schedules.
  • Using Microsoft Office, for example, booking meeting rooms in Outlook.
  • Scanning the daily post and saving it into our systems.
  • Completing a daily handover with their afternoon counterpart.
  • Assisting colleagues with a varied range of other administrative tasks, such as database maintenance, booking courses and client onboarding checks.

Although there is a daily routine, the dynamic nature of working in a law firm means that no two days are the same, so this role would suit someone who is adaptable and self-starting.

Working Hours

In a normal week, working hours for this role are 8.45am to 1pm, Monday – Friday.

If required, the candidate should be flexible to work the full day (until 5.30pm) to cover their afternoon counterpart’s planned annual leave (22 days per year), and the afternoon administrator will reciprocate. A lunch break is taken if a full day is worked.

Annual Leave

The candidate is entitled to 25 days’ annual leave (in addition to bank holidays), with three days to be taken within the Christmas week or at the discretion of the Partners.

In addition, all staff get an extra day’s annual leave on their birthday (or the nearest working day).

Parking

If the candidate will be driving to work, there are several car parks in Welwyn Garden City town centre. The firm reimburse 50% of parking fees.
